Create a formation and release the team sheet

A complete Team Sheet Studio workflow for 5–12-a-side teams: choose a matching formation, assign players with photos or initials, select substitutes and schedule the push to players and linked parents.

For Club admins and Managers and coaches
01

Open Team Sheet Studio

Choose Football, Fixtures, select the upcoming match and open Team sheets from the matchday job menu. Confirm the team, opponent, date and kick-off before building the selection.

02

Confirm the match format

Check the 5–12-a-side size shown for the team. If it is wrong, update the team before building the sheet; future drafts will then use the new size while published history remains unchanged.

03

Choose the formation

Select one of the presets filtered for that team size. A 7-a-side team, for example, receives 2-3-1, 3-2-1, 2-2-2 and 3-1-2 rather than an eleven-a-side formation.

04

Assign the starting lineup

Select a pitch position and choose an available squad member until every required slot is filled. Their uploaded player photo is used when available; otherwise NEXTXI displays clear initials with the position underneath.

  • Use each player once
  • Check the goalkeeper and every outfield line
  • Confirm every selected player is registered and available
  • Match the completed count to the configured team size
05

Build the bench

Add the players who will begin as substitutes to the Bench area. The team sheet identifies them as substitutes, but it does not record a match appearance until the manager later records that they entered the pitch.

06

Set the release date and time

Choose when the line-up becomes visible. Keep the selection private while it is a draft; at the scheduled time NEXTXI publishes it to authorised player and linked-parent mobile accounts and sends a push notification to registered devices.

07

Review and save

Check the formation, every required starting position, the bench and release time, then save. NEXTXI prevents release when the formation belongs to another team size or the starting lineup is incomplete. Return to the fixture overview and confirm the intended draft, scheduled or released state.

08

Handle a late change

Before release, edit the draft and save the replacement. After release, make a clear authorised correction so players and parents are not relying on an outdated screenshot or chat message.

Good practice

Checks that prevent common mistakes

  • Do not release a team sheet until availability and registration have been checked.
  • Use the scheduled release instead of manually messaging different versions of the XI.
  • A bench selection is not proof that the player appeared; record substitutions during the match.
  • Ask mobile users to enable NEXTXI notifications if they want the scheduled alert.
