Save registration drafts and collect family declarations

The current web registration workflow, including separate family access, signed declarations, retained-input retries and saved-form downloads.

For Club admins and Managers and coaches
01

Open the registration workspace

Choose Players → Registrations. Search by player name or NXI ID, filter by team, and use All, Missing, Draft, Submitted or Review due. Form status and Family access are separate columns: an invitation alone is not a signed registration.

02

Check access and open the player

Open the correct player row and verify the team. If the family is not linked, use the player access action to prepare the correct parent or player invitation, then return to the registration. Existing medical and emergency details remain restricted to authorised accounts.

03

Save an administrative draft

Staff can enter the player information and emergency contacts, then choose Save administrative draft. This does not sign for the family or supply their consent. Saving staff changes to a signed registration returns it to Draft and requires the linked family to make a fresh declaration.

04

Ask the linked family to declare

The linked parent or player opens Registration from their own account or the authorised reminder link. They check the information, make their photography-consent choice, accept the club rules and enter their own full name / electronic signature. Save draft keeps work unfinished; Submit signed registration completes their declaration. Photography consent can be declined.

05

Resolve a failed save without retyping

If required information is missing, correct the highlighted fields. If a save or submission fails, the form keeps the entries on the page and offers Retry save or Retry submission. If confirmation says the form was saved but the workspace could not load, use Retry loading workspace instead of submitting again.

06

Send reminders deliberately

Use Send family reminder for the selected eligible player. The list also offers Remind all missing, Remind all drafts and Remind all overdue to authorised staff. Review the action feedback and Last reminder status, including failed or skipped emails. Draft reminders are manual; they are not sent automatically.

07

Review and download the saved record

Confirm the saved status, declaration name and date. Download saved form exports the selected saved registration; Download saved forms exports the visible list. Unsaved edits are not a saved-form export. Open Reminder history and registration reports for the additional tools available to your role.

08

Follow up when review is due

Use Review due and the overdue reminder tools through the season. Ask the family to update the existing registration. Older administrative entries may still show a previous staff name, but they do not replace the required linked-family declaration.

Good practice

Checks that prevent common mistakes

  • Staff cannot sign a parent or player declaration on someone else’s behalf.
  • Keep the page open while resolving a failed save: retained entries are not a promise of recovery after closing or reloading the browser.
  • Keep medical information out of general chat and store downloaded forms only where authorised club officials can access them.
  • A reminder link opens the intended child only for an account already authorised to access that child.
