Plan training sessions and record attendance

Use NEXTXI's web training session planner to prepare original football drills, parallel stations, temporary groups and kit instructions, publish private drafts to invited families, and keep plan acknowledgements, availability and attendance separate.

01

Create the training event

On the web, open Football, then Training. Choose the team, venue, date, start and finish time. Choose Create event only to share the calendar invitation, or Create and plan session to open its private planner immediately. The planner carries the event details forward; saving the detailed plan does not publish it to families.

02

Prepare the private draft

Move freely between Details, Activities and Groups & coaches. Start blank, use a saved programme or copy an earlier session. Check the current season, recorded team age and suggested authorised lead coach; change them where needed. Edit in English or Cymraeg without losing the other version. Write the Message for players/parents, arrival and meeting information, and authored kit instructions. Keep objectives and private coaching notes under More details. The whole team is selected by default; clearly choose a subset if the plan is for fewer invited players.

03

Draft the whole session with NXI Assist

Choose Plan with NXI Assist from Details or Activities. Check the session length, age group, expected players, experience and focus, then describe the available equipment and space. Add a short coaching brief without player names or sensitive details. Generate a proposed whole-team programme with existing activities, breaks, reflection and a message for families. Review the timeline and assumptions before choosing Apply to draft; confirm replacement if a programme already exists. Generating or cancelling does not change the draft. Applying preserves your invited players, groups, authorised coaches and private notes, and each proposed drill still needs Preparation checked before publication. If you edit the draft or event while reviewing, generate a fresh proposal. Adjust groups and stations in the normal planner afterwards.

04

Choose and review the activities

Use NEXTXI's original drill library or create an activity with your own permitted diagram. Review the organisation, numbered instructions, coaching points, questions, player explanation and easier or harder options. Suggested ages, numbers, spaces and timings need adapting to your players. The responsible coach must confirm each activity's suitability before publication; a library entry does not claim external coaching accreditation.

05

Build the programme

Use the activity picker to search and filter, then select several drills and add them together. The picker retains its filters when reopened. Review recorded age and player-count suggestions. Adult teams see drills to review and adapt, with the original suggested ages retained. If there are no results, Browse and adapt clears the library filters and keeps the drill picker open without changing the session's age or invited players. Activities appear as compact rows: adjust duration inline, open Edit for detail, and use More for duplicate, remove and move controls. Check planned and unallocated minutes. Plan remaining time or explicitly mark a partial session plan; NEXTXI never stretches drills automatically. Parallel stations share one time block.

06

Set temporary groups and kit instructions

Whole team together is the default. Choose Split into groups when useful, select unassigned players in bulk and move them to a group. These temporary training groups and practice sides do not move anyone to another permanent team. Record arrival clothing and club-provided bibs separately; a colour label alone is not an instruction to wear that colour. Whole-team kit instructions do not require groups.

07

Assign the coaches

Choose the lead coach and additional coaches from current authorised staff. For each activity, set the coach, location and responsibility, and whether the coach stays at the station or follows the group. Check concurrent assignments for clashes. A coaching assignment does not grant a new account role or permission.

08

Check and preview the saved plan

Autosave shows Saving and then Saved only after the server confirms it. A failed save keeps your edits available for Retry. Resolve Must fix items and review the separate Coach review advice, which identifies affected drills and actual player numbers. Mark Preparation checked only after checking an activity. Preview shows the selected invited player's read-only family view and refreshes when that player changes; it never marks delivery, attendance or receipts. Recheck it after changing the draft.

09

Publish and choose whether to notify

Choose Publish plan and check the confirmation's player count and distinct linked parent-account count. Choose whether to notify families. Publication and notification results are shown separately. The header distinguishes a private draft, a published plan and unpublished changes; families keep seeing the previous published version while edits remain private. Use View player version after publication. Withdrawing a published plan hides its detailed family view and keeps the calendar invitation.

10

Help players and parents open their plan

On the web, players and parents open Schedule, find the training session and choose View shared session plan; the plan notification also opens it. A player sees their own published plan, and a parent selects an invited linked child. They can see the activities, diagrams, timings, coach roles and kit instructions relevant to that child, without another family's roster or private coaching notes. Published plan viewing is available on the web; it is planned for the next iOS and Android app release, while staff plan editing is on the web.

11

Keep acknowledgements, availability and attendance separate

Players and linked parents can mark the published plan as viewed or acknowledged; staff can review these receipts for the current published revision. They still use Your response to choose Going, Maybe or Not going for the calendar session on web or mobile. No reply is different from Not going. At training, open Attendance and record who actually attended. Viewing a plan, acknowledging it or choosing Going does not mark a player present.

12

Run the session

Open Run session for the programme, groups, diagrams, coach responsibilities and attendance-register link. Mark activity delivered records what the coach delivered, independently of Preparation checked and the register's Player attended. A future family session does not show a legacy delivered status. Use the print control for a coach sheet and keep it with authorised staff because it can include player names and private notes. Publish changed family instructions deliberately when required.

13

Review and reuse the session

Record what worked, what to revisit and the next focus in the private review. Share only the approved family summary when selected and published. Use the dated revision history to see who saved or published changes. Save a reusable template from the saved programme; templates reset player and coach assignments, dates, responses and private session prose. Select the new roster and staff, restore session-specific instructions and review the activities before publishing a later session.

Good practice

Checks that prevent common mistakes

  • Adapt activities for age, experience, available space and mixed groups; the coach remains responsible for suitability.
  • Use original or permitted diagrams and videos. Confirm usage rights and both parent or guardian consent and child consent when media contains children.
  • Add Welsh instructions where useful; content without a Welsh version displays its English text.
  • Change or cancel the calendar session as well when its time, venue or status changes; withdrawing the detailed plan does not cancel training.
  • Plan receipts and attendance do not automatically change player ratings or issue awards.
